Operations Manager

We are looking for an Operations Manager to support our work at the forefront of AI safety. As Operations Manager, you will help to oversee the general operations of the FMF, including financial management, supporting HR functions, coordinating with contractors, event planning and other forms of logistical and administrative support.  

As Operations Manager,  you will be adept at process creation and management, supporting senior staff and leadership, and helping to drive forward the operational components of  complex collaborative projects. 

About the FMF

The Frontier Model Forum is an industry non-profit dedicated to the safe development and deployment of frontier AI models. By drawing on the technical and operational expertise of our members, we aim to 1) identify best practices for frontier AI safety and support the development of frontier AI safety standards, 2) advance AI safety research for frontier models, and (3) facilitate information sharing about frontier AI safety among government, academia, civil society and industry.

Key responsibilities

  • Provide guidance and input on strategic decisions that impact operations, including workflows, budget, staffing, etc.  
  • Oversee development and implementation of Forum processes for budget development, financial management and accounting, in line with industry best practices. 
  • Oversee development and implementation of Forum processes for the recruitment, onboarding, and offboarding staff in coordination with an HR consultant, in line with industry best practices and the FMF’s employee handbook. 
  • Develop and support the implementation of staff review processes, as well as fair and transparent mechanisms for addressing and managing concerns of Forum staff  in coordination with an HR consultant. 
  • Develop and oversee relevant operational processes for tracking and reviewing new member applications, appeals, and onboarding. 
  • Develop appropriate workflows and processes for the success of all Forum events, whether public or private and virtual or in-person, and oversee staff responsible for implementation.

Additional responsibilities

  • Provide basic administrative support for meetings and opportunities for internal and external collaboration on research programs.
  • Help to coordinate expert workshops, provide invitations and materials, and support follow up with key experts and researchers from FMF firms and non-member organizations.
  • Ensure project leads are appropriately resourced and that they are appropriately coordinated across activities.
  • Managing the calendar invitations, agenda, and readouts for delegates meetings and board meetings. 
  • Support Executive Director in scheduling, responding to emails, travel and meeting logistics, etc.

  • Have strong operational experience, including HR, developing and leading on organizational processes, identifying opportunities for increased efficiency, and financial management.
  • Thrive at planning, organizing, and facilitating events.
  • Have experience supporting teams and leadership in fast-paced and constantly changing environments
  • Have a clear passion for advancing frontier AI safety and actively seek opportunities to expand your domain knowledge

You may be a strong candidate if you:

  • Have an MBA or experience running operations in a startup environment 
  • Have familiarity and/or experience overseeing the financial management of an organization, including working with accountants and bookkeepers, running payroll and providing reimbursements, paying invoices, and managing a budget
  • Have familiarity and/or experience planning events and supporting the development of processes to make organizations more efficient
